The Administrative Assistant to the Management Team we seek is a polished, experienced individual who will provide senior level administrative support. This role requires excellent communications skills, good judgment, exceptional organization skills, the ability to multi-task and the ability to relate well to internal staff as well as present a very positive persona to external business partners of the company.
 
Job Description
·         Provide administrative support to members of the management team
·         Ability to handle diverse tasks including professional communication and interaction with Corporate community, customers and company employees
·          Uses various software applications, such as Microsoft Excel, Word, PowerPoint, and Access to compose or edit reports, presentations or other documentation
·          Schedule and coordinates a complex calendar of meetings, events, interviews, appointments and/or other similar activities, which will include providing general administrative support and  arranging for facilities, travel, lodging and reimbursements as appropriate
·         Ensures all meeting rooms are clean and equipped with necessary meeting equipment
·          Answers phones and ensures calls are routed to appropriate individuals, if unable to resolve the caller's issue personally.
·          Greets and assists PPG visitors
·          Sorts, screens, reviews and distributes incoming and outgoing mail; composes, prepares or ensures timely responses to a variety of routine written inquiries
·          Serves as a liaison with other departments in the resolution of day-to-day administrative and operational issues
·          Assists Department Managers where necessary to resolve administrative matters, project planning/development and execution of stated goals and objectives
·          Manages sensitive information with discretion and confidentiality
 
Job Requirements
·         High School diploma and five years experience in administrative support roles (college a plus!)
·         Ability to represent PPG in a friendly, professional manner, both internally and externally
·         Must be a self starter, able to work independently, a good problem solver and willing to be proactive to address issues
·         Strong use of MS Office, Word, Excel & PowerPoint
·         Working knowledge of Access and pivot tables
·         Excellent communication/interpersonal skills, self motivation, reliability, and professional demeanor a must
·         Ability to effectively schedule time to accomplish set daily, weekly and monthly position requirements such as reports
·         Submit to a background check including: criminal, credit check, and driver's license check
·         Submit to a hair analysis intoxicant screen
·         Must be legally able to work in the United States
·         Must be 18 years of age
